A wholesale electric bike order begins with a clear product brief. Before comparing prices, agree on the intended use, exact configuration and support you will need after delivery. A low unit price is difficult to evaluate when the battery, assembly requirements or shipping responsibilities are unclear.
This guide gives dealers, distributors and fleet buyers a practical checklist for comparing offers and preparing a useful quotation request.
1. Define the intended use and vehicle category
Describe who will ride the bikes, the typical route, expected daily use and rider or cargo load. A retail commuter, a delivery fleet and an outdoor rental business may need different configurations and service arrangements.
Confirm the vehicle category of each model before comparing offers. An electric bicycle, an electric motorcycle and a seated scooter should not be treated as interchangeable products. Include your destination country and intended sales or operating environment in the brief.
2. Request a complete specification sheet
Ask for a dated specification sheet tied to the model and configuration being quoted. Use the same checklist for every supplier:
- Drive system: rated motor power, any separately stated peak power, assist modes and throttle configuration.
- Battery and charger: voltage, capacity in Wh, battery model, charging time under stated conditions and the charger supplied or recommended by the manufacturer.
- Frame and components: frame material, dimensions, tire size, brakes, suspension and lighting.
- Weight and load: bicycle weight, permitted total load and any separate rack or cargo limit.
- Delivery condition: assembled or partially assembled, tools required, instructions and the checks needed before use.
Keep the final specification with the quotation. If a component changes during discussions, ask for an updated document so the sample, order and inspection criteria refer to the same configuration.
3. Evaluate a sample under relevant conditions
Before committing to a bulk order, discuss a sample and an evaluation plan. Check the finish, component identification, assembly instructions, fit and service access. Arrange any riding evaluation in a suitable environment, following the manufacturer’s instructions and applicable local rules.
Treat range figures as results under stated test conditions. Assistance level, speed, terrain, temperature, rider weight and cargo can affect range; manufacturer Riese & Müller explains these variables. Record the route, load and conditions when comparing samples.
For charging, use the charger supplied or recommended by the device manufacturer and follow its instructions, as advised by the U.S. Consumer Product Safety Commission.
4. Confirm customization in writing
If your project needs OEM or ODM work, list the changes you want: logo placement, frame color, packaging, accessories or manuals. Ask which options are available for the selected model, rather than assuming every change can be made.
Request a written minimum order quantity, sample approval process, added cost and estimated lead time for that configuration. Agree on the final specification and inspection criteria before placing the order.
5. Compare the complete delivered cost
Ask what the quotation includes and excludes. Compare packaging, freight, insurance, destination handling, local delivery, assembly and any initial spare-parts package. Have your import or logistics partner help estimate destination charges.
Record the agreed shipping terms, named destination and responsibility for each stage. A unit price and a door-to-door quotation cover different costs, so put both offers on the same basis before choosing.
6. Clarify warranty and spare-parts support
Ask which components are covered, the coverage period, exclusions and the claim procedure. Confirm what photos, diagnostic information or records are needed, and who handles repair work and shipping costs.
Request information about replacement batteries, approved chargers, controllers, displays, brakes and other service parts for the exact model. Confirm compatibility and availability rather than assuming similar-looking parts can be substituted.
7. Check destination-market documentation
Before ordering, ask your local importer or compliance adviser which documents are needed for the intended vehicle category, import process and sales channel. Request documents that identify the actual model and relevant battery or charger configuration, where applicable.
Check what each document covers. A logo, product photo or generic certificate is not a substitute for reviewing documentation for the specific product you intend to purchase.
8. Prepare a quotation request that can be answered
A clear enquiry helps a supplier respond with a relevant configuration and scope. Include:
- Product model or a link to the model you are considering.
- Destination country and city or port.
- Estimated order quantity and whether a sample is needed first.
- Intended use, typical route and rider or cargo requirements.
- Branding, configuration or packaging requests.
- Preferred delivery window and the support you expect after delivery.
You can copy this brief into your message: “We are sourcing [model] for [use] in [country]. Our estimated quantity is [units]. We need [configuration or branding]. Please quote the proposed specification, sample options, minimum order quantity, estimated lead time, shipping scope and warranty terms.”
